DRAFT PROPOSED GUIDELINES for groups doing events

Here are the guidelines we came up with for outside people using the Camberwell Squatted Centre. We came up with these notes so that everything is clear about what we expect from you and what you can expect from us. Running the social centre is very time consuming for everyone involved here, so we collectively agreed these ideas to avoid putting more stress and burn out on ourselves. Don’t let it put you off please. We welcome you and your events. That’s partly why we opened up the space!! We have had an awesome number of great events here with no problems. However we came up with these notes to avoid some of the common problems we have had over the last two months.


ABOUT THE SPACE AVAILABLE

• It’s a squatted space. This means that we cannot know when we will be evicted. Bear this in mind if you are thinking about using a date a long way ahead

• We have two social spaces downstairs - A small bar space with sofas, book and magazine rack, info space, small bar. Adjoining this is a larger longer room with tables and chairs in it. Roughly speaking the Centre can hold 40 people maximum in both spaces. Anything else would be a crush.

• Types of events we have held – benefit cafes or bar nights, film nights, disco nights, talks and discussions, closed meetings, DIY workshops, acoustic shows etc. It is not suitable for punk gigs or loud parties.

• We share the building with the folks who live above. We have agreed a finishing time for events at 1am. This means that the social space is cleared by 1am. Cleaning can still be done after that.

• There is a kitchen space downstairs that has plates, cups, cutlery etc and a few pans. It’s not set up as a working kitchen so people mainly prepare food in advance elsewhere and heat it here. A small amount of cooking can happen eg. frying stuff, salad making etc. We ask you to respect the wishes of those who live in the building and not cook any non-vegan food in the kitchen.

BOOKING THE CENTRE

• The Camberwell Squatted Centre collective meets every Monday night in the Centre at 7.30pm. We like it if people want to hold an event here that they come and introduce themselves at this meeting and tell us about what they want to do. The first part of the meeting is set aside to sort out our schedule of events so you wont have to sit through a whole meeting.

• We try to not to book events less than two weeks ahead so that sufficient time can be given over to publicity. In an emergency, if something is needed quickly, we will book it.

• Although we prefer to met you if you want to book a date, you can email us at blackfrog@alphabetthreat.co.uk and propose it to us.


CENTRE USE and RESPONSIBILITIES • When we book an event with you will ask for a phone number and email address to enable us to keep in touch if you or we have questions about it. We will also give you the details of one of us who will act as a liaison between you and the Centre. This person will be there on the day. Please bear in mind that we are a small group of people and sometimes if we are all busy or overworked it may not be possible to find a responsible person for you. But hopefully we can work it out

• If you are putting on an event, we expect you to have a crew that runs the night. This means that people come before your event starts to set up and that people stay the course to keep the event safe and looked after. We have sometimes found it helpful to have some people that arrive early and set-up and begin the event and to have another group of people who arrive later who close and clean the event. We expect you to be responsible for the security of the building against landlords, cops, aggressive people etc. and for the security of our equipment etc. at all times.

CLEANING

• At the end of the event we want the space to be cleaned for those who live here and in readiness for other later events. A rough list depending on the type of event is: to wipe all the tables and bar surfaces, clean the toilet, sort out recycling into a neat fashion, do all the washing up, clean the kitchen surfaces and stove (if used), sweep the all the floors.

WHAT WE CAN PROVIDE FOR YOUR EVENT

• We can provide you with a film projector and a portable screen. To use the projector you will need a computer that has a VGA outlet from a computer that plays DVD’s, AVI’s, MPEG’s etc. (VGA is the outlet that you would plug an external monitor into. Not all laptops have this. iBook Macs don’t!!. Mac G4 Powerbooks do but later models need an adaptor. Most PC laptops do. Google Images will show you what a VGA looks like). We have small speakers for the film sound that plug into your computer.

• We can run a bar if you don’t want to do this but we will keep the money from our beer sales for the Centre. If you want to do a bar to raise money we can advise you how.

• We have tea and coffee available at the bar.

• There is a CD player with 3 speakers; two in the bar and one in the bigger room.

PUBLICITY • If you are putting on an event, you will need to publicise it well. Sounds obvious but folks have put on great events here where 2 people showed up because they forgot to tell anyone about it.

• We will put your event on a website calendar of events. It will also be included in our email bulletin to about 100 people.

• We can print your flyer cheaply but not less than one week before the event. Contact blackfrog@alphabetthreat.co.uk putting ‘EVENT PRINTING INFO’ in the subject line

• We have put up an ever-expanding list of where you can put flyers and posters in places near the centre and elsewhere in London on our website. There is also info about where to publicise it on the Internet.


Publicity

Flyers for events organised (by people external to the collective) that need to be printed should be sent to blackfrog email at least 2 weeks (10 days??) before event. mark or alex will work out a favourable price and print.

It should be made clear to whoever is organising event that flyers will have to be paid for, and that they are responsible for dishing them out. there's no point printing flyers if the event is in a couple of days


Suggestions for Publicising Events

Places to put leaflets down in.

Locally is always better but for certain events it might be worth putting stuff in other areas. For example, a gig is worth advertising in London record stores etc. Not everything listed is guaranteed to want your flyer but it’s always about asking nicely. Local shops are often happy to put up posters in their window if it’s a community event. It’s just about asking and establishing a relationship with them.
